BTAC Childcare Policies
Our Childcare will be operated on a reservation basis in order to manage our childcare service in a more financially responsible manner. The reservation system will allow us to match our staffing to our childcare needs on a shift by shift basis.Reservations will be taken within the current childcare hours as needed. If we don’t have reservations (for example) at 8am , childcare won’t start until we do have reservations. We may also operate past our usual time frame if reservations warrant it.
We will accommodate reservations outside our typical times under the following conditions: 1) we have a minimum of 4 children for the requested time, 2) we have staff available, 3) all policy procedures apply.
Childcare Reservation Policy:
MEMBERS:
1. Reservations can be made through the front office as early as 15 days in advance, by phone (no more than 2 reservation times), in person at the front desk, or in writing— given to the front desk. Staffing will be established 2 days prior to use. ‘Day previous’ and ‘day of’ reservations will be accepted to fill any cancellations or openings based on staff/child ratios.

4 staff/ 24 4 staff/16+4 infants
*infants are considered to be children ages 6-18 months
2. Making a reservation will consist of informing us of the number of children you are bringing and the drop off and pick up times. You may give us your schedule up to 15 days in advance.
3. Drop ins will be allowed on a space available basis. Drop in availability should not be relied upon as a dependable means of having childcare.
4. 10 minute Reservation grace period (BTAC standard for reservations throughout the club) will apply to your reservation. If the reservation is not fulfilled within the grace period it becomes null and void and the remaining time may be used by a drop in. If there are no other reservations staff will leave after the grace period.
5. Late arrivals may lose their reservation to a drop in and will be charged a $1 late fee per child whether or not there is still space available.
6. Late pick ups will have a 5 minute grace period (past your designated pick up) after which there will be a fee equal to one full hour assessed for each 15 minutes late. Example: 1 hour would be charged for late pickups between 6-15 minutes late, 2 hours for late pickups between 16-30 minutes late, and so on.
7. Cancellations will be accepted a minimum of 2 hours prior to the reservation. Reservations not canceled at least 2 hours prior will be charged a No-Show fee equal to the full rate for the number of children and hours reserved.
NON-MEMBERS
1. Reservations can be made through the front office no sooner than 1 day in advance. Day of reservations will be accepted to fill any cancellations or openings based on staff/child ratios. See above ratios.
2. Childcare rates, No show, Late pick up, and Late arrival fees are double that of member rates.
3. Reservations for the morning shift must be made no later than 7pm the night before. Monday morning reservations need to be made by 4pm Sunday. Reservations for the evening shift need to be made by 1pm that same day.

Discipline Policy
Our ultimate goal is to encourage activities and play that will help avoid conflict and behavior problems. If a child is harming themselves or others… If he/she is abusing the toys or the facility… If their behavior is affecting the management of the childcare… A time out will be given. If the problem persists, a parent will be sent for to remove the child from the childcare. When they do occur, the following procedures will take place:
1. Verbal warning and redirection of activity.
2. If behavior problems continue after time out, parent will be called to return and take the child out of childcare.
In the case of extreme behavior problems such as biting, hitting, kicking, spitting, talking back, or showing staff disrespect, the parent will be notified and asked to remove the child for a period of not less than 1 week. If these actions continue, or any combination of these actions, the removal may become permanent at the discretion of childcare management.

Childcare Illness Policy
Sick children may not be left in the childcare for any length of time. The childcare staff will ask parents to remove a child that is obviously not feeling well. Please use these guidelines when deciding whether or not to bring your child;
1. No colored discharge.
2. No fever, and not less than 24 hours after fever has subsided without the aid of medication.
3. Not less than 24 hours after being sick to stomach.
4. No infectious conditions until written release is provided from physician.
5. If your child is generally not feeling well or is overly tired and not
him/herself.
Thank you for using these guidelines when deciding whether or not to bring your child to childcare. For the health and well being of all of our children, we appreciate your attention to this matter.
Diapers & Toileting
The following policy is in effect for the protection of our staff, and the health and welfare of all the children attending BTAC childcare. We do not have the staffing or the proper facilities to handle diaper changing appropriately. Due to the unsanitary conditions toileting accidents create in the environment and for other children, we will require timely parental assistance when this occurs. Because we realize that any interruption during your workout may be inconvenient, we will be asking you to come only when completely necessary. We appreciate your understanding and cooperation.
Please change your child just before leaving him/her in childcare. For older children, please have them use the bathroom just before leaving them. This will help us avoid interrupting your workout and should help children make it until the scheduled bathroom break, the last 15 minutes of each hour. Scheduling group bathroom breaks will allow us to eliminate the possibility of a child wandering off and the concern of unaccompanied children in the locker rooms.
1. BTAC childcare providers will no longer change diapers for safety and sanitary reasons. If your child needs changing, staff will notify you.
2. Children in the process of potty training must be in Pull ups to avoid the unsanitary conditions and accident may cause. If an accident occurs with your child, you will be called to change your child. We don’t have the staffingto divert attention from caring for the children to cleaning up messy accidents, we will need your help to handle it appropriately. Children will not be allowed to sit in soiled clothing while in the childcare environment, for the heath and welfare of your child and the other children in childcare.
3. Bathroom breaks will be taken during the last 15 minutes of each hour. For safety reasons, children must be able to handle the task from start to finish if they are to use the bathroom. Our staff will be happy to assist with snapping and/or zipping pants if necessary. If your child needs assistance in the bathroom, staff will contact you to assist your child.
